If you’re a RotaCloud client, you can quickly and easily integrate Orka Pay with RotaCloud. During your Orka Pay onboarding, we will always walk you through the technical setup step-by-step in a meeting to make sure we get everything set up correctly, so this tutorial blog is more for you to get a rough idea of what the set-up process entails.

Here’s how it’s done.

Step 1: Creating an API Key

The first step to integrate Orka Pay with RotaCloud, is to create an API Key in RotaCloud. Don’t worry, this isn’t as complicated as it sounds. You can even find in depth tutorials on this through the RotaCloud Help Centre, or keep reading these instructions.

On your RotaCloud dashboard, navigate to the Settings area and select the section called API & Webhooks on the right hand side menu.

Thereafter, you simply click on the blue plus sign to create a new API key. Give the key a recognisable name, and then click create.

That’s it, you’ve created your API Key!

Step 2: Create Webhooks

Next up is creating the Webhooks. Webhooks allows you to send real-time data from RotaCloud to other applications whenever a given event occurs. You can also find helpful tutorials on this through the RotaCloud Help Centre.

To do this, go back to the same Settings area as before, and select the section called API & Webhooks on the right hand side menu again. On this page, click the blue plus icon next to Webhooks.

For this setup, you’ll need to create a total of three webhooks and enter the following information for each of them.

  • First webhook. Object: Attendance / Event: Created
  • Second webhook. Object: Attendance / Event: Updated
  • Third webhook. Object: Attendance / Event: Deleted

Your Orka Pay account manager will provide URLs for each webhook and these are custom made for each client. You might need to refresh the page to see your updated webhooks!

Step 3: Putting it all together

When you navigate to the Orka Pay Portal and log in, it will automatically recognise that you’re a RotaCloud client, and you’ll be asked to input the Webhook Secret and the API Key into the Portal.

Once this is done, click Authorise.

That’s it! After this setup is ready, and you will be asked to choose the go live date of your choice.

A few things all new Orka Pay clients need to remember:

Make sure the employee data in RotaCloud is up to date and correct for key information such as the employees name, phone number, national insurance number, date of birth and email. This is vital for the integration to work.
